Senior School Administrator with good IT skills – Start ASAP- working for an exclusive school in Surrey 

Our client is looking for an experienced administrator to provide support to the Senior School management team The role will also provide cover for reception, assist with pupil attendance records and provide administrative support to other departments.

Hours are 9am to 5.30pm, Monday to Friday during term-time, with slightly reduced hours covering an additional 4 weeks during the school holidays, including around exam results days in August (38 weeks in total). Flexibility will be required at busy times.

Key Responsibilities

  • Support the administrative needs of the senior management team (as required), including co-ordinating meetings and producing correspondence
  • Be a key part of communication with parents, staff and third parties, ensuring professionalism and confidentiality is maintained at all time
  • Resond appropriately and in a timely manner to general queries from parents and the general public
  • Update records on SIMS (pupil database)
  • Proof read and upload reports to SIMS
  • Maintain pupil behaviour records on CPOMS
  • Take meeting minutes as required
  • Support the organisation of parent evenings and other similar events
  • Maintain the whole school calendar regarding trips, exams, sports activities etc. and distribute this information to parents and staff
  • Provide administrative for sports fixtures and liaise with parents via Clarion Call/SOCS
  • Support members of the SMT with organisation of ad hoc events such as assemblies, summer festival and annual events such as Remembrance and Carol Services
  • Provide support to the exams department as required e.g. invigilation for internal exams, proof reading
  • Assist admissions during peak times e.g. sending out offer letters etc.
  • Take responsibility for lost property
  • Provide reception cover at break and lunchtimes
  • Have an understanding of the Senior School pupil registration process and be able to provide cover (when required)
  • Liaise with the receptionist on any matters relating to pupil absence, telephone calls and visitors

Skills and competencies

  • Significant administrative or secretarialexperience
  • Excellent communication skills, both written and spoken
  • Excellent IT skills – Word, Excel, Outlook,PowerPoint, Google Suite and databaseexperience (the school uses SIMS)
  • Strong interpersonal skills and diplomacy whendealing with staff, parents and students
  • Very high standards of accuracy and attention todetail
  • Ability to prioritise workloads and meet deadlines
  • Strong organisational skills with the ability to manage a busy workload with sometimes rapidly changing priorities
  • Full understanding of confidentiality and dataprotection, with regard to the appropriatehandling of sensitive information
  • Genuine interest in educational issues and empathy with the independent sector and the opportunities provided
  • The ability to be flexible and pro-active with a’can do’ attitude and a willingness to take ont asks that arise to ensure the smooth running of the Senior School office
