School Administrator

Based in Surrey. Salary: £30,000 per annum

We are currently recruiting for a qualified and committed Education Coordinator. The successful candidate will ensure the smooth-running of day-to-day admin for the Deputy Head and College Counsellor, delivering an efficient, professional and effective administrative function for the School. This includes as a priority, clear communication, discretion and excellent record-keeping and analysis.

 Person Specification:

  • Excellent communication skills
  • Strong knowledge of MS office
  • High organised and efficient
  • Attention to detail
  • Not essential but bonus if knowledge of ManageBac
  • Graduate or graduate level

Key Responsibilities: –  

  • Expert user of school MIS (generating reports for SLT as needed), including regular training and support for other members of Admin staff on MIS
  • Updating and maintaining student records/files as appropriate for each grade level
  • Produce internal and external communication/correspondence as required
  • Notify parents of any appointments / changes to curriculum / individual academic issues as directed from time to time by the Deputy Head Academic
  • Manage and organise all internal and external events that fall within the remit of the Deputy Head Academic
  • Ensuring events are publicised appropriately in advance
  • Organising any documentation, materials and technology for the day/evening
  • Manage college visits to school, including liaison with colleges, students and College Counsellor
  • Ensure stationery stocks, teacher planners etc are replenished, in a way that ensures this is kept within budget and refreshments are available
  • Co-ordinate and produce a Daily Bulletin to be emailed to all staff
  • Manage timetable queries through liaising with individual students, Deputy Head Academic and the member of staff in charge of timetabling
  • At key points of the year, to work closely with the College Counsellor on university entrance including:
  • Downloading transcripts from ManageBac, checking for errors, preparing for signing by the Counsellor and Deputy Head
  • Scanning and sending large numbers of documents, including predicted grade documents, as well as keeping meticulous records of this, including chasing for signatures where required
  • In all aspects of the role, respecting the confidential and sensitive nature of the work of the Deputy Head and the College Counsellor’s office both within and beyond the school
  • Diary Management for senior staff
  • Liaise with staff, parents, pupils on appointments
  • Assist the Deputy Head Academic through prioritising appointments / managing deadlines through astute use of diary
  • Organise the appraisal process for staff who are appraised by the Deputy Head Academic.
  • To be the first point of call for students, teachers, parents, visitors and guests who come into the office area
  • Attendance: Report daily/weekly of attendance of students
  • Assessment and Reporting: produce quarterly reports, ensure staff meet deadlines for updating assessment data on ManageBac, pull assessment data from ManageBac
  • Other Duties: Deputise for the receptionist in her absence, undertake IT training, additional duties as required
