Person Specification

  • Experience of working in a similar customer service administrator role
  • IT Savvy
  • Ability to produce accurate work to right deadlines under pressure
  • Data/Information Analysis
  • Full driving licence

Key Responsibilities

  • To ensure all visitors are greeted in a professional, efficient and courteous manner
  • To ensure the reception and waiting areas are kept tidy and presentable at all times
  • To ensure all incoming calls are answered and customer requests are processed and directed to the relevant individual/ department in a prompt, efficient and professional manner
  • To ensure that all enquiries are actioned appropriately
  • To check in customer vehicles, obtain relevant information
  • To liaise with drivers and customers to obtain information to assist correct repairs, prompt and efficient handover
  • To release vehicles back to customer ensuring correct procedures are followed
  • To book vehicles into main dealers for warranty and vehicle recall work
  • To Take bookings for MOT’s and services
  • To ensure delivereies are signed for, checked and collected promptly
  • Check ‘Out of Hours’ reports every morning and action as necessary
  • Raise workshop ‘Work In Progress’ job card electronically
  • To liaise with the Parts Controller if parts are required
  • To complete invoicing for all internal work
  • To process all third party sales invoices for service work
  • To process thirs party purchase invoices for payment
  • Upload all completes job packs and invoices to the system
  • Upload all service and complicant document to enable the customer to have full access
  • To arrange Bodyshop bookings when required
